| Duties and responsibilities Under
the general direction of the Records and Archives Officer:
Identify digital and hard copy records which are potential archival
material insofar as they will be of continuing use to the Organization
or have historical value;
Establish and/or maintain disposal standards and schedules for
digital and paper records;
Discuss with appropriate divisional officers the records being
scheduled and prepare description of records;
Make arrangements for the transfer of records to the appropriate
archives means at the expiration of the retention period;
Review and identify, in consultation with Divisions and Departments,
the transfer to appropriate long-term storage of selected digital or
hard- copy records not in current use, select those warranting permanent
storage in the Historical Archives, and authorize destruction of those
not to be retained;
Ensure the proper maintenance of all paper and digital indexes and
other retrieval aids connected with storage of inactive files and
records;
Maintain a computer-based Archives Reference Service for FAO staff
and for authorized persons from outside the Organization, ensuring
compliance with restrictions covering the records and observance of
rules governing the use of records;
Carry out inter-agency exchange of information on archival systems
and procedures;
Perform other professional duties as required. |
Qualifications and experience -
Essential
University degree in Archival Sciences, Modern History or related
social sciences.
Three years of progressively responsible, professional experience in
an archives and records management establishment in International
organizations or institutions with an international perspective.
Working knowledge of (Level C) English, French or Spanish and limited
knowledge (level B) of one of the other two languages.
Initiative, ability to train others and carry out complete research
and to write clear and concise narrative descriptions of groups of
records and their contents. Familiarity with digital archiving and
microfilming techniques. Good knowledge of applications related to
computerized documents and records management systems. Computer literacy
and ability to use word processing and standard software. Experience
with Internet/Intranet communications technologies. Courtesy, tact and
ability to work with people of different national and cultural
background.
Qualifications and experience - Desirable
Professional training in modern archives management. Knowledge of
Microsoft messaging technology (MS-Exchange) as well as Microsoft Office
tools. Knowledge of Italian.
