INFORMATION NOTE ON ARRANGEMENTS

1. LOCATION OF SESSION

By kind invitation of the Government of India, through its Tea Board, the Fourteenth Session of the Intergovernmental Group (IGG) on Tea will be held in New Delhi, from 10 to 11 October 2001. The Session will be preceded by the Conference on Tea and Health on 9 October 2001. The venue will be:

3. ENTRY FORMALITIES

Delegates and accompanying travellers who, because of their nationality, require visas, should apply for them at the embassies/consulates of India, in their respective countries of residence. Should any difficulties arise, the Liaison Officer must be informed at least four weeks prior to the Session.

4. HOTEL ACCOMMODATION

Delegates should make their reservations directly with the hotel of their choice (list of hotels in Appendix 2). A deposit or credit card guarantee for one night's accommodation is required when making a reservation. Please note that hotel prices have been specially arranged for a limited number of rooms in each hotel, and therefore, delegates should refer to these arrangements made by the Tea Board of India when making their bookings.

5. MODES OF PAYMENT FOR HOTEL ACCOMMODATION

Credit card (Visa or MasterCard) by providing all card details in the Accommodation Form, which is available directly from the hotel of your choice.

Banker's draft in favour of the hotel payable at New Delhi, India.

6. CANCELLATION OF HOTEL ACCOMMODATION

In case hotel reservations are cancelled less than 30 days before the meeting, one night's room retention will be charged.

7. TRANSPORT

Delegates travelling on international flights will arrive at Terminal 2 of the Indira Gandhi International (IGI) Airport (19 km from the city centre). The terminal has 24-hour snack bars, 24- hour currency exchange, left luggage facilities, infant care, first aid and pay phones of international and domestic (long distance) and local calls. Delegates are kindly requested to go through the Green Channel if they have less than US$ 5 000 on their person and if they have no unaccompanied baggage. Delegates should use the Red Channel if they have items to declare and if they are carrying foreign currency in excess of US$ 5 000.

Those delegates travelling on domestic (national) flights will arrive at Terminal 1 of the Indira Gandhi (Domestic) Airport (12 km from the city centre). The terminal has a 24-hour snack bar and pay phones of international and domestic (long distance) and local calls. The domestic terminal has separate arrival and departure areas.

At both airports delegates will be received by Welcome Staff and transferred to the official meeting hotels, provided that the Tea Board of India receives advance information of their arrival details.

8. EXPORT REGULATIONS

On return, delegates may take souvenirs, including Indian silk, wool, handicrafts, etc. without any limits, and gold and silver jewellery and handicrafts up to a value of Rs. 100 000. Please note that the export of antiques and art objects over 100 years old is restricted and that the export of wildlife products is prohibited.

9. DEPARTURE FOREIGN TRAVEL TAX

A Foreign Travel Tax of Rs. 500 (Rs. 150 for Pakistan, Nepal, Sri Lanka, Bhutan and Myanmar) is to be paid at the international airport prior to departure. Some airlines include this tax in the purchase price for their tickets.

10. CLIMATE

India's climate can be generally defined as tropical. October is fairly pleasant in New Delhi, with daytime temperatures ranging from 25 to 30oC. Night temperatures can drop to 15 to 20oC. A light wrap or jacket is advised for outdoor evening functions.

11. HEALTH

Please note that the following vaccinations are recommended for India: Diphtheria, Tatanus, Polio, Cholera, Typhoid and Hepatitis A and B. Malaria protection is advised, especially if delegates intend to travel in different parts of India prior to or after the meeting. Delegates are kindly advised to contact their doctor or travel clinic for details.

If delegates are coming from or have visited Africa, South America or an area infected with Yellow Fever within five days prior to their arrival in India, a proof of inoculation against Yellow Fever is required.

12. GENERAL ADVICE

Delegates are advised to drink only bottled water and to ensure that the seal is intact. Raw vegetables, uncooked seafood, and food and drinks from street vendors should be avoided, while fruit should be peeled.

13. CURRENCY

The currency in India is the Rupee, which comes in denomination of 1, 2, 5, 10, 20, 50, 100, 500 and 1 000. Delegates are kindly requested to use authorized money exchangers and banks to exchange currency. They will issue a certificate of exchange, which is required at the time of reconversion of any unused currency. Under the Foreign Exchange Regulation Act 1973, it is an offence to exchange foreign currency other than through authorized moneychangers or banks. The UN exchange rate at 1 June 2001 was Rs. 47.20 to US$ 1.00.

14. BANKS

Banks are generally open from 1000 to 1400 hours from Monday through Friday and from 1000 to 1200 hours on Saturdays. Most international banks have branches in New Delhi.

15. ELECTRICITY

The voltage in India is 220 volts. Should delegates wish to use appliances of 110 volts, it is recommended that they bring their own adapter, as there are only a limited number at hotels.

16. TIPS

Delegates are not compelled to tip anyone for any service rendered. The normal tip to waiters in a restaurant is 10 percent.

17. PROVISIONAL TIMETABLE

The opening ceremony will take place at 0930 hours on Wednesday, 10 October 2001 and the Session is expected to conclude its work in the afternoon of Thursday, 11 October 2001. The provisional timetable is attached as Appendix 1.

19. REGISTRATION
