1. Data Unit Code and Number

This field is divided into two subfields:

Centre code

- alphanumeric field; 3 characters

- this subfield need not be completed, as it will be filled in by the computer terminal operator. The centre code indicates the computer centre where data are entered, and is assigned at the AQUIS installation.

Sequence number

- numeric field; integer; 5 digits

- this information is generated by the computer when Input Data Sheet information is entered. As with the centre code, this subfield will be completed by the computer operator.

2. Description

- alphanumeric field; 64 characters

- provide a brief description, other than the title of a source document, to clarify the nature of the work undertaken, for example:

(a) monoculture of shrimp in brackish water ponds
(b) feed trials for tilapia
(c) commercial production of rainbow trout in raceways

3. Level of Operation

- alphanumeric field; 16 characters

- select one of the keywords for level of operation listed and described in Annex B, page B.1

4. Type of Operation

- alphanumeric field; 16 characters

- select one of the keywords for type of operation listed and described in Annex B, page B.1

5. Coverage Period

Divided into two subfields:

First subfield

- numeric field; integer; 6 digits

- specify the starting date of the study to be described, using day/month/year format. If the exact date is not known, indicate month and year or only year.

- example: A series of ponds were fertilized on 8 February 1982 in preparation for production of milkfish, and left to dry for two weeks. The ponds were filled with water on 22 February, and fingerlings introduced on 26 February. The starting date in this situation would be when the ponds were fertilized (08 02 82).

Second subfield

- numeric field; integer; 6 digits

- specify the date when the culture operation was terminated (do not include the time required for analysis of data, report writing, etc.). If the exact date is not known, indicate month and year or only year.

- example: If only 1982 is known, enter 00 00 82.

6. Source of Data

You can enter up to 3 sources for the data being entered. For example, if two authors have written in separate publications about the same operation, one on the biological aspects and one on economic aspects, the information can be combined into the same data unit. Also, if someone other than the original author verified information about an operation, their name should be entered.

Each source is divided into four subfields:

Type

- alphanumeric field; 16 characters

- enter the type of publication/report from which the data is being extracted.

- examples: Thesis, Annual Report, Journal Article, Monograph, Case Study, Scientific Paper

Author/Investigator

- alphanumeric field; 16 characters

- enter the author's family name, followed by the initials for first names. If there are two authors, enter both names. For three or more authors, write the names and initials of the first two followed by "ET AL". If the name of the author(s) is longer than 16 characters, continue on the line immediately below under the heading "Author", but put "-DO-" in the second subfield under Type.

Date

- numeric field; integer; 6 characters

- enter the date of the document using the day/month/year format. In cases of published documents, give the year of publication. For others indicate the date of compilation/preparation/presentation; for case studies enter the date of completion of investigations (only the year is required).

- examples: for 29 September 1984 enter 29 09 84; for 1983 enter 00 00 83

Title

- alphanumeric field; 64 characters

- enter the title of the source documentation. If it is longer than 64 characters, abbreviate the title if possible. If there is only one source and the title is longer than 64 characters, the succeeding lines may be used. If so, under the second subfield for "Type", you enter "-DO-".

7. Compiler(s)

Information can be entered for up to 3 compilers. Each field is divided into three subfields:

Name

- alphanumeric field; 16 characters
- enter the surname, followed by initials of the compiler(s).

Date

- numeric field; integer; 6 digits
- enter the date the sheet is compiled using the day/month/year format.

Occupation

- alphanumeric field; 64 characters
- enter profession and compiler's official title

8. Currency used for Economic Data

- alphanumeric field; 14 characters
- write the name of the currency, and the abbreviation if there is space.
- examples: Yen; Lira Li; Can. dollar $; Deutschmark DM.

9. Conversion Rate to US Dollar ($)

- numeric field; 6 decimal places; 12 digits

- specify the conversion rate of the above currency to US dollars, effective the end of the coverage period for the information to be entered.

- examples: 245 (for yen); 0.000513 (lira); 0.74 (Can.$); 0.431 (Deutschmark).

I. Geographic and Climatic Data

1. Region(s)

- this section can be left blank as the information will be automatically entered to the data unit by the computer based on country information.

Fields 2-9 are relevant to the location of the farm/enterprise/experiment. In some cases, these are located at several different sites. Space is provided for information on 4 locations; if more is required, enter on a photocopy of this page and clip to the Input Data Sheet. For each location, enter the following information:

- select one of the keywords for country listed in Annex B, pages B.2-B.3.

3.a/State/Province

- alphanumeric field; 16 characters
- write the name of the province where the farm/enterprise site is located.

- state the name of the town or village at or close to where the farm/enterprise is located.

a/Some private operators may prefer for business reasons not to have their operation identified specifically. In these cases, leave fields 3 and 4 above blank, and enter in field 5 (Name of Aquaculture Farm/Enterprise): "At owner's request, info confid".

5. Name of Aquaculture Farm/Enterprise

- alphanumeric field; 32 characters
- enter the full name of the aquaculture farm/enterprise to which this information refers.

6. Climate

- alphanumeric field; 16 characters
- select one of the keywords for climatic conditions listed and described in Annex B, page B.9.

7. Altitude

- numeric field; integer; 6 digits

- enter the average altitude above sea level metres (m) of the farm/enterprise site. If the operation is at sea level, enter "Ø".

8. Rainfall

- numeric field; 1 decimal place; 6 digits

- enter the daily average rainfall in millimetres (mm) recorded during the coverage period for this data.

9. Temperature

- numeric field; 1 decimal place; 3 subfields of 4 digits each

- enter the average, minimum and maximum temperatures expressed in Centigrade (°C) during the coverage period for this data.

II. Culture Systems

1. Culture Installation

- alphanumeric field; divided into 5 subfields, 16 characters each

- select up to 5 words from the keyword list in Annex B, page B.8 which best describe the installation to which the information refers.

2. Number of Structures

- numeric field; integer; 6 digits
- identify total number of structures (e.g., ponds, tanks, cages) associated with the operation.

3. Unit of Measurement

- alphanumeric field; 16 characters
- establishes the unit of measurement used in field 4 below for Total Dimensions.

4. Total Dimensions

- numeric field; 2 decimal places; 6 digits

- enter the total dimensions of the operation, e.g., area of operation; volume (usually used for cage culture operations).

5. Description of Technical Characteristics

- alphanumeric field; 272 characters

- provide a brief description of the culture facilities, including number and size of culture units; details of where they are located; material of construction (e.g., earth, fibreglass, plastic); and any other significant information.

6. Water Source

- alphanumeric field; 16 characters

- describe the major water source, e.g., rain, well, stream, river, lake, reservoir, lagoon, estuary. If there is more than one water supply, enter details in field 13 below.

7. Mode of Water Supply

- alphanumeric field; 16 characters

- describe the technique used in moving water from the source to culture facilities, and effluent removal, e.g., gravity flow, tides, pumping, etc.

8. Water Flow Rate

- numeric field; integer; 6 digits

- enter the total daily rate of flow through all facilities averaged over the period of culture, giving the unit of measurement below.

Unit of Measurement

- alphanumeric field; 16 characters
- state the unit of measurement for flow rate above, in words or abbreviated.
- examples: CUBIC METRES; L/DAY

9. Rate of Water Exchange

- numeric field; 2 decimal places; 6 digits

- enter the percentage of water exchange per day, calculated as "(total volume of water flow per day/total volume of all culture facilities) x 100". Note that this can be higher than 100%.

10. Water Characteristics

- numeric field; 1 decimal place; 9 fields of 6 digits each
- enter the yearly average, minimum and maximum values for:

(a) salinity (in part per thousand, ppt)
(b) temperature (in degrees Centigrade, °C)
(c) depth (in metres, m)

11. Description of other Physicochemical Characteristics

- alphanumeric field; 272 characters

- provide any further details related to characteristics of the water source, e.g., oxygen level variation, pH, conductivity, nitrates, ammonia, carbonates, silt, etc.

12. Fluctuation of Water Level

- numeric field; 2 decimal places; 6 digits

- enter the average fluctuation (if any) of water level in metres (m) during the period of operations reported

13. Description of Methods and/or Structures for Water Management

- alphanumeric field; 272 characters

- enter details of water control structures used in the operation, e.g., sumps, weirs, recirculation, stand pipes, screened bottom drains. Also enter details here on supplementary water sources not mentioned in fields 6 and 7 above.

14. Water Areas

- used in those situations where the culture facilities occupy part of a larger body of water (e.g., cage culture in a large lake). Divided into 3 subfields:

Total area/volume used for cultivation

- enter the units of measurement of volume/area used above.

15. Soil Type

- alphanumeric field; 32 characters

- describe the soil type in operations where earthen ponds are used (e.g., sand, clay, loam, sand on clay, etc.).

16. Soil Physicochemical Properties

- alphanumeric field; divided into 7 subfields, 6 characters each

- information in the subfields can be entered either in numeric values or in descriptive form (Nil - N; Very Low - VL; Low - L; Medium - M; High - H).

- Enter information for: pH; if numeric values used express as ppm for salinity, nitrogen, phosphates and sulphates; and if numeric values used express as ppm CaCO3 for alkalinity; organic carbon (%)

17. Remarks

- alphanumeric field; 272 characters

- enter any additional information related to the culture system for which no spaces are provided above.

III. Production Data

Prepare separate pages for each species in cases of polyculture, or culture operations involving several species.

1. Species Name

Divided into 4 subfields as follows:

Keyword

- Alphanumeric subfield; 16 characters

- Select one of the keywords for species listed in Annex B, pages B.4 - B.7

- If the species is not listed, fill in the scientific name (genus and species) in the space provided, and advise the AQUIS Data Bank Manager separately by submitting a completed form as shown in Annex D, page D.1.

- If the scientific name has been changed recently, use the old name listed and write in the new scientific name alongside the subfield.

- Where the species name is not available, use the genus name (e.g. PENAEUS SPP.) or group name (e.g. CRUSTACEA). In such cases, explain in field 5 below why these names were used.

Common English Name

- Alphanumeric subfield; 32 characters
- Specify the common English name for the species.
- Example: MILKFISH is the common name for Chanos chanos.

Scientific Name

- Leave this space blank. It is automatically printed out by the computer if the keyword above has been entered.

Local Name

- Alphanumeric subfield; 32 characters
- Enter the local name for the species, if known.
- Example: BANGUS is the local name for milkfish in the Philippines.

2. Culture Period

Refers to the entire production period, from preparation (e.g. fertilizing ponds, stocking tanks) to final harvest. Divided into two subfields:

Length of period

- Numeric; integer; 3 digits

Unit

- Alphanumeric; 6 characters
- Enter: day, week, month, year
- Examples: 264 DAYS, 28 MONTHS

3. Seed (Stocking)

Describes stock origin and other details related to individual lots of seed that can be followed separately through the culture period (e.g. sequential stockings of the same species; different species). Space for 4 groups/stockings is provided; should that not be sufficient attach separate pages. Differences between groups/stockings can be explained in field 5 (Remarks on Stocking/Harvesting).

Controlled breeding

- Cross Y (= Yes) or N (= No)

- Identify whether seed originated from induced breeding or cultured broodstock.

From wild

- Cross Y (= Yes) or N (= No)

- Identify whether seed were collected from natural waters.

Stocking sequence number: already marked on sheet, used to identify the lot of seed; can be modified in the range 1-99.

Unit of measurement - (see field under stocking sequence no. Ø4)

- Alphanumeric field; 6 characters

- Identify units of measurement used for stocking rate, average size and average weight that follow.

Stocking rate

- Numeric field; integer; 6 digits

- Specify the number or weight of seed (e.g. fry, spat, post-larvae, etc.) per unit (preferably number/ha).

Average size

- Numeric field; 2 decimal places; 6 digits
- Specify the average length, width or diameter, as appropriate of seed

Average weight

- Numeric field; 2 decimal places; 6 digits
- Specify the average weight of seed, if applicable.

Survival rate %

- Numeric field; 1 decimal place; 4 digits

- Specify the percentage of stocking material that survived to the end of the culture period (i.e. number harvested divided by number stocked x 100).

Space is available to describe 4 different harvest lots. Differences between harvest lots (e.g. timing, species, etc.) can be explained in field 5 (Remarks on Stocking/Harvesting). If there are more than 4 lots, attach separate page(s). For each harvest lot, record information as follows:

Type of produce

- Alphanumeric field; 16 characters

- Specify the growth stage at which product is harvested.

- Examples: fry, fingerlings, yearlings, spat, juveniles, adults of fish/shrimps/oysters, etc.

Harvest sequence number: already printed on sheet, can be modified. These numbers do not have to correspond to stocking sequence number (see field 3 above) for seed.

Total number

- Numeric field; integer; 6 digits
- Specify the total number of harvested products.

Average size

- Numeric field; 2 decimal places; 6 digits

- Specify the average individual length, width, diameter as appropriate of the harvested product.

Average weight

- Numeric field; 2 decimal places; 6 digits
- Specify the average individual weight of harvested products.

Total weight

- Numeric field; 2 decimal places; 8 digits
- Specify the total weight (kg) of organisms harvested.

Yield (per area or volume)

- Numeric field; 2 decimal places; 8 digits
- Specify the yield from harvesting in kg/ha or kg/m3.

Percentage of total harvest

- Numeric field; 1 decimal place; 4 digits

- In cases of multiple harvesting, indicate the percentage of this harvest lot from the total harvest.

Unit price

- Enter the sale price per unit of weight, using the currency identified in IDENTIFICATION DATA.

IV. Feeds

DIRECT FEEDING

1. Sources of Feeds

- Alphanumeric field; divided into 3 subfields of 14 characters each.

- Enter Y or N (for Yes/No) for each possible source of feed, with a brief explanation if necessary.

2. Type of Feed

- Alphanumeric field; divided into 4 subfields of 14 characters each.

- Enter Y or N (for Yes/No) in one or more of the subfields, and a brief description if possible.

- Complete: A balanced diet which can be fed without further additives (e.g. packaged, pelleted).

- Supplementary: Feed components provided in addition to other feeds, fertilizers, chemicals, etc., e.g. chopped grass, vegetables.

- Processed: Usually manufactured by mechanical processes including use of heat, steam, pelleting, etc. Specify nature of the feed (e.g. dry, semi-moist pellets, crumble, etc.).

- Unprocessed: Comprised of mixed raw ingredients.

3. Composition

Space is provided for 8 different feed ingredients and their percentage composition. Percentage composition should add up to 100%. If there are more than 8 ingredients, list the 7 major items, and summarize the rest in the last space and describe as 'OTHERS'.

- Alphanumeric field; divided into 8 subfields of 32 characters each.

- Enter the common name as well as commercial name, if any, of feed ingredients, e.g. herring oil, wheat middlings, mustard cake, etc.

4. Nutrient Composition

Divided into 5 subfields as follows:

Protein %

- Numeric field; integer; 6 digits

Fat %

Fibre %

- Numeric field; integer; 6 digits

Nitrogen-free extract (NFE) %

- Numeric field; integer; 6 digits

- The mean NFE % is determined by adding the percentage sums of ash, crude fibre, ether extract and protein.

Metabolizable Energy (ME)

- Numeric field; 1 decimal place; 6 digits
- Enter the total metabolizable energy as kcal/kg if this is known.

5. Feeding Data

Feeding frequency

- Numeric field; integer; 6 digits
- Specify the number of times fed per day (i.e. 24 hours).

Feeding rate

- Numeric field; integer; 6 digits
- Express weight of food fed as percentage of total body weight.

Cost per kg

- Numeric field; 4 decimal places; 12 digits

- Estimate the average cost per kg of all feeds, using the currency shown in IDENTIFICATION DATA.

Feed conversion ratio

- Numeric field; 2 decimal places; 12 digits
- Specify the weight of feed required to produce 1 kg of product.

6. Feeding Method

- Alphanumeric; 272 characters

- Describe the feeding method employed (e.g. dispensed mechanically, manually, automatically; demand-fed; broadcast; etc.).

CHEMICALS

1. Space is provided for entry of 8 chemicals used as fertilizers, usually to enrich pond waters and stimulate plankton growth. Chemicals are also used as direct foods for marine plant culture. For each chemical enter the source, chemical composition, and fertilizing data as described below:

ORGANIC FERTILIZERS

1. Source

- Enter the average cost per kg of fertilizer per application. Use currency shown in IDENTIFICATION DATA.

V. Losses/Mortality - Diseases

Space is provided to identify 3 different disease problems or cases of mortality and loss from other causes. Attach more pages if additional space is required. In each case, enter information as outlined below:

2. Causative Agent

- Enter the mortality as percentage of the total stock.

6. Other Causes of Mortality and Loss: Description

- Enter a brief description of other causes of mortality (e.g. predation) or loss (e.g. incorrect starting count, sampling, etc.).

- Enter the mortality as percentage of the total stock.

VI. Integration with Crop and Livestock

1. Agriculture Crops

Up to 5 agriculture crops (i.e. plant crops) grown in conjunction with an aquaculture operation may be entered.

- Specify the type of crop, e.g. fruit, cereal, vegetable.

Type of product

- Alphanumeric field; 16 characters
- Specify the type of product, e.g. lettuce, wheat, papayas.

Percent (%) of total area

- Numeric field; 2 decimal places; 6 digits

- Enter the percentage of total crop farming area used for each of the agricultural crops produced.

Yield

- Numeric field; 2 decimal places; 16 digits

- Enter the total weight of crop produced during the culture period, showing the unit of measurement (e.g. kg/ha, tonnes/ha) in the next field.

Weight Unit

- Alphanumeric field; 6 characters
- Specify the unit of weight measurement for yield above (kg/ha or tonnes/ha).

2. Livestock

Information on up to 5 different types of livestock reared in conjunction with an aquaculture operation can be described.

Type of livestock

- Specify the type of animal reared (e.g. ducks, chickens, pigs)

- Specify the product, e.g. broilers, eggs.

VII. Economic Data - Investment

For all monetary data entered in this chapter, use the same currency as that indicated in IDENTIFICATION DATA.
