FAO created the Electronic Information Management Services (EIMS) because it recognizes the value of indexing metadata and keywords to enhance quick and efficient location of information on the Internet. FAO departments and divisions now use EIMS to insert records of publications, meeting documents and other materials such as photos for immediate publication on www.fao.org or to begin the process of converting written documents into HTML followed by publication. EIMS is Internet-based and the user only requires a browser to access the on-line interface. The departmental or divisional user requests an action by filling in the user-friendly form and clicking insert to begin the workflow process of conversion into HTML or immediate publication which is managed by the GILW branch. As EIMS is simple to customize, each department can personalize the work flow and approval policy as well as decide candidates for user accounts and breadth of access. The Electronic Document Processing Request or E-DPR is an on-line system which enables FAO's departments to send requests for translation, revision and internal printing of publications, meeting documents, vacancy announcements and other FAO correspondence to the Conference, Council and Protocol Affairs division (GIC) which manages these activities. The E-DPR system works in tandem with EIMS, taking information on the translation and printing of documents which have already been catalogued using EIMS. By removing the paper-based workflow, the EDPR prevents double data entry, ensures transparent calculations of costs and provides real-time information on the status of the documents. The E-DPR is Internet based and the user only requires a browser to access the on-line interface. The user requests an action by filling in the user-friendly form and clicking 'Submit to GICM' to begin the workflow process. Access to the System is given to users upon request made by their Branch or Service Chief to the E-DPR-Help Desk, which is based in GIC.
