Position title: Training and Administrative Officer

Location: Ulaanbaatar (with field travels)

Deadline for Application: 14 September, 2020

Duration: 12 months (with extension up to a maximum of 36 months based on performance and project requirements). Probation period  3 months

Organizational Setting: FAO Mongolia works with the vision "to be a leading, credible and responsive partner in ensuring food and nutrition security of the population". The office has been coordinating projects and programmes in research, capacity building,  natural resources management, technology transfer, food and agriculture policy, livestock production systems management, emergency and post crisis management, forestry information, statistics, food security and nutrition, emergency response operations, crop production system management, and food quality and safety.

Duties: Under the overall supervision of the FAO Representative in Mongolia and direct supervision of the National Project Manager of the Inclusive and Sustainable Vegetable and Marketing Project, , the Administrative Officer is responsible for the day-to-day administration of the field project assigned, and will provide assistance in ensuring the effective and efficient project implementation and will undertake following duties: 

  1. Carries out administration work  including drafting/reviewing TORs of project personnel for further clearance technically and operationally, supports the recruitment process  including screening, interview arrangement and reporting etc;
  2. Monitors/maintains out posted petty cash expenditures;
  3. Provides logistical and travel arrangements for  the project, process local travel requests and follow-up timely submission of BTORs (Back to Office Report) and TECs (Travel Expense Claim);
  4. Provides assistance and advice to the Project Team on FAO administrative procedures;
  5. Assists the Project Team to maintain an appropriate communication, filing and work flow on administrative activities;
    1. Manages official correspondence and archive;
    2. Ensures FAO premise are maintained in sound working conditions;
    3. Supports in the organization of workshops/trainings /meetings;
    4. Maintains project asset/inventory in good working conditions and keeps accurate records regarding custodianship, location, physical verification and year-end inventory stock take etc. and dispose them in due time;
    5. Assists in the organization of PTF/PCC  meetings; 
    6. Supports the Project Manager in daily operation and maintenance of the project vehicle(s);
    7. Undertakes other assignments as required.

Qualifications:

The Administrative Officer will have the following qualifications:

  • Proven work experience as an Administrative Officer, Administrator or similar role;
  • Solid knowledge of office procedures;
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically);
  • Strong organization skills with a problem-solving attitude;
  • Excellent written and verbal communication skills;
  • Attention to detail;
  • University degree in finance, business administration or related field.
