9.2 Update procedures for Web sites

Procedure

Once a Web site is published, pages will inevitably need to be updated as time progresses. To have updated static pages from the test server (Faoint0b) published live, write to Web-Intranet-Updates@fao.org specifying the name of the Web site and the server, the name of the files etc.

Sample e-mail:

To: Web-Intranet-Updates

Subject: Web site page updates to [Web site's name]

______________________________________________________

Dear Colleagues,

Could you please publish the following files?

From \\Faoint0b\[folder 1]:

    • [file name 1]
    • [file name 2]

From \\Faoint0b\[folder 2]:

  • [file name 3]

Please copy the new folder: \\Faoint0b\[folder 3]

Please delete the file: [folder 4]\[file name 4]:

Definitions

The main parties involved in this procedure are:

Data Owner: the Data Owner is the person responsible for the content of a specific Web site or of a specific set of pages. Only data owners or their designated alternates can change the information on a specific Web site and can request an update.

Divisional Focal Point for Web Management: the divisional coordinator for the Web. This person could be the data owner, an OTC or anyone designated to carry out Web management activities.

Procedure

Make sure you have access to the test environment.

To request Web site updates, you must be authorised to access the test server. If you are not, here is how to request first-time access.

Data Owners or Division Directors should:

  1. contact the divisional Focal Point for Web management, to be granted access to the test environment;
  2. ask access for themselves as well as for users designated to work on a certain site or set of pages;
  3. specify which user(s) should be also granted the rights to request updates;
  4. (the divisional Focal Point for Web management should) send an e-mail to Web-Intranet-Updates@fao.org specifying the folders to which access should be granted, and the list of users that access should be granted to.

How to request Web site updates

The data owner or the designated Focal Point should:

  1. specify the list of files and folders to update in an e-mail message; and
  2. send the e-mail to Web-Intranet-Updates@fao.org

A reply will be sent mentioning if the update was successful or if errors were present (broken links, etc.).

The update will be issued within one working day from the time of the request.
