GUIDANCE FOR IN-PERSON PARTICIPATION
UPDATE 2 November 2022: Additional information and an FAQ on CAC45 are available on these extra pages.

Members are strongly encouraged to plan to have at least one in-person delegate attend the session. In-person participation in FAO Headquarters is subject to the latest health and quarantine measures of the Host Country, Italy.

For persons traveling to Italy from any country or region, entry and quarantine requirements, including restrictions in public transportation, established by the Host Country will apply. As of 1 March 2022, no quarantine is required for travel from any country, though requirements constantly evolve and should be consulted in the official site in the link provided here.

Delegates will be required to wear face masks in the meeting room, apply social distancing and good sanitation practices (e.g. regular hand washing and/or sanitation) and not enter the building if they exhibit any COVID-19 or flu symptoms, even if mild (e.g. temperature of more than 37.5 oC, general body aches and pains, cough, runny nose or sore throat) and immediately notify the Codex Secretariat. More detailed guidance will be provided to registered participants planning to attend in-person.

In line with health-related protocols, there is limited capacity in the plenary hall for in-person delegates. The available space will be allocated as indicated below. Registration facilities for in-person delegates will open on Monday 21 November at 08:00.

Members:

In-person participation in the Plenary Hall is limited to one (1) Representative from each Member. Members are able to rotate their chosen representatives over the duration of the meeting on a daily basis, with the Green and Red Rooms available for additional delegates from each Member.

Observers:

Due to the limitations imposed by the health and safety measures, it is not possible to allocate any seats to Observers in the Plenary Hall. However, Observers wishing to participate in-person can follow the meeting from the Red or Green Room.

Please note that delegates sitting in the overflow rooms (Red, Green and Iran rooms) will need to follow the meeting via Zoom

Chairpersons of Codex Subsidiary Bodies:

Chairpersons may participate in-person or remotely. Seating for Chairpersons of subsidiary bodies has been allocated in the Plenary Hall. Chairpersons participate separately from the national delegations of Codex Member countries.

General Public:

Members of the General Public who wish to follow the proceedings can do so via the web stream (see below). In-person participation will not be possible due to space limitations and remote participation via zoom will be reserved for Members and Observers.

GUIDANCE FOR REMOTE PARTICIPATION
The Codex Secretariat has prepared guidance for Members and Observers to facilitate participation in virtual meetings. Please visit the Information for Delegates webpage and the guidance for participants to virtual meetings available in English, French, Spanish, Arabic, Chinese and Russian.

Remote participants will be able to listen to all proceedings and make verbal interventions through their Heads of Delegations. Remote participation will be via Zoom and a quick guide to preparation for remote participation is available in English, French, Spanish, Arabic, Chinese and Russian.

ONLINE PRE-REGISTRATION FOR IN-PERSON AND REMOTE PARTICIPATION
All participants should provide their information (names and addresses) through the Codex online registration system by accessing the link below, no later than 11 November 2022.

Special note for Members:

In registering your delegation for CAC45, please indicate if the delegate will be participating in-person or remotely. This is critical as the follow-up steps for in-person delegates will be different and that information will be provided according to type of participation indicated.

The deadline for registering in-person delegates is Friday 11 November 2022, this is to ensure that any unallocated spaces in the Plenary Hall can be redistributed. Those with permanent access to FAO HQ, such as accredited Permanent Representations to FAO, are still required to register for CAC45 in order to access the Plenary Hall.

WEBSTREAMING
All sessions of CAC45 will be streamed in the six official Codex languages. Click here to access the webstream.

As we have a limitation of 1000 delegates who can join the meeting remotely (by Zoom), we strongly recommend that delegates that are not directly supporting their heads of delegations follow the meeting via web stream.

Participants representing the General Public who wish to follow CAC45 should follow the web stream.
